At the end of an academic year you move each class up to the next one and graduate your final-year students. Classes themselves stay put — it's the students who move.
Classes don't get renamed
JSS 1A stays JSS 1A every year. You don't rename it to JSS 2A — you move this year's students out of it and into JSS 2A, and next year's intake takes their place. That keeps each year's records attached to the right class.
Mark your final-year classes first
Open a class and set Terminal year on the arms students leave from — usually SS 3 or Primary 6, depending on your school.
Only terminal classes offer Graduate. Everything else offers Promote to…, which prevents graduating a class by accident.
Promote a class
- Go to Settings → Academic year → Plan promotion.
- Pick the source class.
- Pick the destination class.
- Review the student list — untick anyone staying behind.
- Confirm.
The move happens as a single operation: every selected student's enrolment in the old class ends and a new one begins in the destination class. If anything fails, nothing is applied, so you won't end up with half a class moved.
Repeat for each class, working from the top down.
Repeating a student
Leave them unticked when you promote their class. Their enrolment in the current class continues, and they'll be sitting alongside the new intake.
Graduating
On a terminal class, choose Graduate. Students' enrolments end and they aren't placed anywhere new. Their records, results and history stay intact and remain visible in reports.
Then start the next session
Once students are where they should be, go to Settings → Academic year, end the current session and start the next one. Three terms are created automatically.
Bear in mind that enrolling students in subjects is per class, so after promotion the new class needs its subject enrolments checked — see Setting up your school, step 9.
