Privacy Policy
Schola is operated by Schola Core Innovations (“Schola”, “we”, “us”). This policy explains what personal data we collect on schola.ng and in the Schola platform, why, who we share it with, and the choices and rights you have. We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA).
1. Who is responsible for your data
Visitors and school account holders. For people who visit schola.ng, contact us, or sign up and manage a school account, Schola decides how the data is used and is the data controller.
Data schools put into Schola. Schools use Schola to manage their students, parents and guardians, and staff. For that data, the school is the data controller and Schola processes it on the school's behalf and on its instructions. If you are a student, parent or staff member and have a question about your records, please contact your school first — we will help them respond.
2. What we collect
When you visit schola.ng
- Usage and device data — pages viewed, clicks, scrolling, approximate location (from IP address), browser and device type. We collect this through Microsoft Clarity (see Cookies and analytics).
- Contact details you give us — name, email, phone number, school name and your message when you contact us or ask for a demo.
When you use the Schola platform
- Account data — names, email addresses, phone numbers and login credentials of school administrators, staff, parents and students.
- School records — what a school chooses to record, such as student details, classes, attendance, scores and results, fees and payments, staff and payroll information, messages and announcements.
- Payment data — subscription and fee payment details. Card payments are handled by Paystack; we do not see or store full card numbers.
- Technical data — log, security and device information needed to run and protect the service.
3. How we use it
- To provide, maintain and secure the platform and each school's portal.
- To send service messages by email, WhatsApp or SMS — for example login details, results, fee reminders and announcements a school chooses to send.
- To process subscription and fee payments.
- To provide AI-assisted features a school chooses to use, such as drafting comments, lesson notes or questions.
- To respond to enquiries and support requests.
- To understand how schola.ng is used and improve it.
- To meet legal obligations and prevent fraud or misuse.
Our legal bases are performance of our contract with schools, our legitimate interests in running and improving Schola, compliance with legal obligations, and consent where the law requires it. We do not sell personal data, and we do not use school records for advertising.
4. Cookies and analytics
We use a small number of cookies. Essential cookies keep you signed in and the platform secure; the service does not work without them.
On our public marketing pages (such as the home, about, partner and help pages) we use Microsoft Clarity to understand how visitors use the site, through heatmaps and session replays. Microsoft processes this usage data on our behalf. Clarity only sets cookies if you click “Accept” on our cookie notice; until then, or if you decline, it runs without cookies. Clarity is not used inside school portals, dashboards, exams or the result checker. Learn more in the Microsoft Privacy Statement.
You can also block or delete cookies in your browser settings at any time; clearing them brings the cookie notice back so you can choose again. Declining analytics cookies does not affect your use of schola.ng.
5. Who we share it with
We share personal data only with service providers that help us run Schola, under contracts that restrict how they use it:
- Vercel — website and application hosting.
- Supabase — database, authentication and file storage.
- Paystack — payment processing.
- Resend — email delivery.
- Twilio — WhatsApp and SMS delivery.
- AI providers (DeepSeek, Google Gemini, OpenAI, Anthropic) — only the content needed for an AI feature a school uses.
- Microsoft Clarity — website analytics on our marketing pages.
We may also disclose data if required by law, to protect the rights and safety of users, or as part of a business transfer, in which case this policy continues to apply.
6. International transfers
Some of our providers store or process data outside Nigeria, including in the United States, the European Union and China. Where we transfer data abroad, we rely on the safeguards the NDPA permits, such as contractual protections, and we limit what is transferred to what the service needs.
7. How long we keep it
We keep school data for as long as the school's account is active, and afterwards only as long as needed to meet legal, accounting or dispute-resolution requirements, or until the school asks us to delete it. Enquiries are kept as long as needed to deal with them. Analytics data is kept according to Microsoft Clarity's retention periods.
8. Security
We use access controls, encrypted connections (HTTPS) and separation between schools to protect personal data. No system is perfectly secure, but we work to protect your data and will notify affected schools and the regulator of a breach where the law requires.
9. Children
Schola is used by schools, so it holds data about students who may be under 18. That data is provided and controlled by the school, which is responsible for having an appropriate basis — including parental consent where required — to put it into Schola. Our marketing site is aimed at school owners and staff, not children.
10. Your rights
Under the NDPA you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted, or its use restricted, in certain circumstances;
- object to processing based on our legitimate interests;
- receive your data in a portable format;
- withdraw consent where we rely on it.
To exercise these rights, email info@schola.ng. If your request is about records a school holds, we will pass it to the school. You can also complain to the Nigeria Data Protection Commission.
11. Changes to this policy
We may update this policy from time to time. We will change the effective date above and, for significant changes, let schools know through the platform or by email.
