Bulk-import students from Excel

Use bulk import to add many students at once from a spreadsheet. Open this page on a laptop or desktop — it is blocked on mobile.

Go to People → Students and click Import.

Step 1 — Download the template

Click Download template. Open the file in Excel or Google Sheets. It has the correct column headers and example rows.

The columns are:

student_id No — leave blank for new students
first_name Yes
middle_name No
last_name Yes
dob Yes — format YYYY-MM-DD
sex Yes — M, F, other, or unspecified
class_name Yes — must exactly match a class name in your school
guardian_1_email No
guardian_1_relationship No
guardian_2_email No
guardian_2_relationship No

Up to 500 students per upload.

Step 2 — Upload your file

Save the filled template and drag it onto the upload area, or click to browse. Accepted formats: .xlsx, .xls, .csv. Maximum file size 10 MB.

Schola parses the file and moves to the preview.

Step 3 — Review and fix

The preview shows every row with any errors highlighted. You can:

  • Edit cells directly in the table to fix mistakes.
  • Delete any row you want to skip.
  • Click Start over to go back and upload a different file.

Only valid rows can be committed. The count at the top shows how many are ready and how many need attention.

Step 4 — Commit

When you are satisfied with the preview, click Add students. Schola creates the accounts in batches and shows a per-row outcome — created, skipped, or failed.

Each new student gets a generated Student ID and a system password. After import, go to each student's profile to see and reset their credentials, or use the single-add flow if you need to set a specific password.

Guardians listed in the file are linked automatically if an account with that email already exists, or invited if not.
