Set up fee items

Fee items are the building blocks of student bills. You create them once in the catalogue and then assign them to the students who owe them for each term.

Go to Accounting → Fees → Catalog.

Create a fee item

  1. Click New fee item.
  2. Fill in:
    • Name (required) — what this fee is called, for example Tuition (Junior Secondary) or PTA levy.
    • Category (optional) — a free-form label used to group similar items in reports, for example Tuition or Levies.
    • Default amount (optional, in naira) — the standard amount for this item. You can override this per class and term when assigning students.
    • Description (optional) — any notes for your own reference.
  3. Click Create.

The item appears in the catalogue. You can edit or archive it at any time from its card.

Assign students to a fee item (roster)

Creating a fee item does not automatically bill anyone. You must assign the students who owe it for a given term.

  1. On the Catalog tab, click a fee item card.
  2. In the panel that opens, pick the term.
  3. The panel shows two sections: On this fee (already assigned) and Not on this fee (eligible to add).
  4. Tick the students you want to add and click Add. Or tick members and click Remove to unassign them.

You can filter by class to assign an entire class at once.

Once assigned, each student's bill for that term includes the item at the amount set.

Archive a fee item

Click Archive on a fee item card to remove it from the active catalogue. Archived items can be restored. Bills that already include the item are not affected.
